Job Title: Administrative Assistant
Location: Monroe Charter Academy, Waxhaw, NC

Position Summary:
Monroe Charter Academy, a public charter school, is seeking a highly organized, detail-oriented, and professional Administrative Assistant to support the daily operations of the school. This position plays a vital role in maintaining an efficient and welcoming front office environment and will work closely with the Principal to ensure compliance with school budgets, state and federal reporting, and overall administrative functions.

Key Responsibilities:

  • Office Management & Communication

    • Manage the front office to ensure a welcoming and professional atmosphere.

    • Greet and assist students, parents, staff, and visitors.

    • Answer and direct incoming calls, take messages, and respond to inquiries.

    • Manage all incoming and outgoing correspondence, including mail and email.

    • Schedule meetings and maintain the Principal’s calendar.

  • Administrative Support

    • Prepare, proofread, and format documents, reports, and presentations.

    • Maintain accurate records and filing systems for student and school documentation.

    • Handle confidential information with professionalism and discretion.

  • Financial & Budgetary Duties

    • Assist the Principal with managing federal, state, and local school budgets.

    • Perform budget reconciliations and maintain accurate financial records.

    • Prepare purchase orders and track purchases.

    • Support accounts receivable and monitor incoming payments.

  • School Operations

    • Coordinate daily operations to ensure smooth workflow across the school.

    • Serve as a liaison between the Principal and school community, including teachers, parents, and external partners.

    • Provide logistical support for events, meetings, and school activities.

Qualifications:

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.

  • Previous experience in a school or educational setting strongly preferred.

  • Strong organizational and multitasking skills with attention to detail.

  • Excellent verbal and written communication skills.

  • Proficient in Microsoft Office Suite and basic financial software systems.

  • Ability to work independently and as part of a team.

  • Demonstrated discretion and professionalism in handling confidential matters.

Working Conditions:
This position is based in a front office environment within a public charter school and requires frequent interaction with students, families, staff, and community members. Occasional extended hours may be required during peak times or special events.
